Privacy policy
What we collect when you contact us, why, who processes it and the rights you have.
1. Who we are
The controller of your personal data is Ronnie Dog Media Comm. V., Lokeren, Belgium (VAT BE0693988181). For anything about this policy or your data, email chris@ronniedogmedia.com.
2. What we collect
We only collect what you send us. There is no newsletter sign-up on this site and no account for visitors.
- Enquiry form (contact and service pages): your name, work email, company (optional), the service you’re interested in, the website to audit (optional) and your message.
- Placement request (agency catalogue): your name, email, target URL, anchor text and notes (optional), whether you want us to write the content, and the site you chose.
- Publisher application: your name, email, your site’s domain, its topics, your asking price and any notes.
- Emails you send us, and the business details needed to quote, invoice and get paid (company name, address, VAT number, payment records).
- Technical data: our hosting provider processes IP addresses and request data to deliver the site and protect it from abuse. We don’t use these to profile you.
3. Why we use it, and our lawful basis
- To reply to your enquiry, prepare a quote and deliver what you order: steps before a contract, and performing the contract (GDPR Art. 6(1)(b)).
- To invoice and keep accounting records: legal obligation (Art. 6(1)(c)).
- To follow up on a business enquiry, review publisher applications, keep a record of our dealings with you and keep the site secure: our legitimate interests in running the business (Art. 6(1)(f)). You can object at any time.
4. Cookies and tracking
This site uses no analytics, advertising or tracking cookies, and loads no third-party tracking scripts. Fonts are served from our own domain. The only cookie is a strictly necessary login cookie (
rdm_hub_session) set when our own staff sign in to our internal tools; visitors never receive it. Because of this we don’t show a cookie banner. If we ever add analytics, we’ll update this policy and ask for consent first where the law requires it.5. Who we share it with
We don’t sell your data. We share it only with service providers that process it on our behalf, and only as far as needed:
- Cloudflare (website hosting, security and database connection).
- Netlify and its database provider (hosting of our internal tools and the database where form submissions are stored).
- Microsoft (business email, Microsoft 365).
- PayPal or our bank, when you pay an invoice.
For a sponsored post, the publication that runs it receives the article and link details, but not your contact details unless you ask us to introduce you. We may also disclose data where the law requires it, or to our accountants and advisers.
6. International transfers
Some of these providers are based in, or process data in, the United States. Where that happens, transfers rely on the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses.
7. How long we keep it
- Enquiries and applications that don’t lead to work: up to 24 months after our last contact, then deleted.
- Client records, orders and correspondence: for as long as we work together, plus up to 24 months.
- Invoices and accounting records: for the period Belgian tax and accounting law requires (currently up to 10 years).
8. Your rights
You have the right to access your data, have it corrected or deleted, restrict or object to how we use it, and receive it in a portable format. Email chris@ronniedogmedia.com and we’ll respond within one month. You can also complain to the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit, dataprotectionauthority.be), or to the supervisory authority where you live or work, such as the UK Information Commissioner’s Office.
9. Security
Data is sent over HTTPS, stored in an access-controlled database, and our internal tools sit behind a staff login.
10. Changes
We’ll post any changes here and update the date below.
